Moving dealership data from Excel to a management system

Moving from Excel begins with understanding columns and relationships before importing a file. A controlled migration preserves a path back to the source and reveals differences before the new system becomes the working reference.

Inventory files and choose a reference source

Working folders may contain similarly named versions covering different dates. Record each file’s owner and period, then agree which copy is authoritative. Separate vehicles, customers, agreements, installments and receipts into related tables. Do not delete similarly named records before confirming that they represent the same entity.

Map columns explicitly

For each source column, identify the target field, data type, required status and cleaning rule. Review mixed date formats, numbers stored as text and identifiers or plates with leading zeros. Do not automatically replace missing values with zero. Preserve an exception list for the data owner to review.

Trial, reconcile and transition

Begin with a sample stripped of sensitive information that represents ordinary and exceptional cases. After a trial import, compare counts, totals and relationships, document corrections and test again. Before final migration, agree when source editing stops, a rollback plan and a backup. Import capability itself is part of the agreed implementation scope.

A practical checklist

  • An approved source version and stable identifiers.
  • A documented column map using the provided template.
  • A sample covering partial payments, missing fields and duplicates.
  • Reconciliation, rollback and approval before final migration.

Should I upload customer files through the website form?

No. Start with a structure description or a sample with personal details removed. Agree an appropriate transfer method if real data is later needed.

That depends on quality, format and required relationships. A sample assessment is needed before agreeing migration scope and cost.
